Order management that connects every step.

A program designed around each purchase order: who makes it, what is at risk, who verifies what, and what you see at every stage.

Most problems with an overseas order are visible too late. GIS starts from the order itself, with the supplier, the product, the destination and the history of past orders, and designs the program that gives you control for the effort the order deserves.

  • Risk assessed by supplier, by product and industry, and from past results
  • Checks chosen for each stage of production, not copied from a template
  • Your suppliers report in a standard format you can compare
  • GIS acts on site only where it adds value

How a program is built

  1. 1

    Read the risk

Supplier record and legal standing, product and industry, destination requirements, and the history of past orders.

  2. 2

    Design the mission plan

For every stage of production, decide who verifies what: GIS on site, the supplier through self-inspection, or no check at all.

  3. 3

    Integrate your suppliers

Suppliers report against your requirements in iOrderSmart: checklists, photos and measurements in a standard format.

  4. 4

    Intervene with purpose

When the data or the risk calls for it, GIS sends a mission with a market-leading partner, to GIS standards.

  5. 5

    Decide with the whole picture

Release payments, approve shipments and adjust the plan for the next order, from one shared record.

Open Project: two ways to contract

An open-book model: you see the prices from every factory. The contract structure is chosen per project.

  • Open Project Express

You sign the purchase contract with the supplier, under international terms, and you pay the supplier. GIS plans, follows up and manages the order, the quality program, the freight and the online tools.

  • Open Project Full

GIS signs a local contract with the supplier, under local jurisdiction in China, pays the supplier and exports. A local team manages the order end to end, and your sources stay protected.

Stages the plan can cover, when the risk calls for them

Sampling follows the AQL tables of ANSI/ASQ Z1.4, and any stage can be done by the supplier, by GIS, or skipped. Where the risk justifies it, every unit can be checked.

  • Before production: golden samples in place, high-risk materials and processes
  • First run: materials, molds and first pieces, to prevent defects on a new order
  • During production: the process monitored mid-run, with its variability tracked
  • At 80% or more finished: time left for any corrective action
  • Shipment: quantities against the packing list, and the condition of containers, pallets and cartons
  • Container loading and pre-customs clearance

Missions where they matter. Data everywhere else.

Questions buyers ask

Who carries out the on-site missions?

GIS owns the plan and the standard. On-site work is carried out with market-leading partners under GIS standards, coordinated by your GIS team in iOrderSmart.

How can suppliers inspect their own production?

We agree with each supplier what they report, when and in which format, and we check their data with targeted GIS missions. Over time, reliable suppliers need fewer on-site visits.

What protection do I get on the contract and the payments?

From the supplier’s proforma invoice we draft a purchase-order contract that protects your interests. With a local contract GIS is the legal buyer, which lowers the risk of fraud and legal disputes, and a GIS entity as exporter keeps the real source of your supply private. Payments are consolidated and released against product conformance, your terms and your approval, and local contracts carry an extended NDA to protect your intellectual property.

How is quality assured and controlled?

Quality assurance prevents problems before and during manufacturing, through reliable processes and organized suppliers, ideally following ISO standards. Quality control then checks conformance to the purchase contract at defined points, from incoming materials to the final product. Reports show findings, non-conformities, photos, document checks and recommended corrective actions, normally within 24 to 48 hours of the check, and every project is followed in real time in iOrderSmart.

Who works on my order?

An account manager in your time zone for guidance, technical training and the commercial side; a local project manager who leads your purchasing team in Asia and follows up every order; a regional quality management team that plans the resources; and a field team of inspectors and auditors, from GIS or from partners, working to GIS standards.

What happens if goods arrive non-conforming?

GIS supports and represents you, according to the Open Project solution and the legal standing of the contract, to negotiate the partial or full replacement of the non-conforming material once the evidence reaches us.

How much do the checks cover?

Most checks are sampled with the AQL tables, which reduces risk strongly at a sensible cost. When the risk justifies it, every unit can be checked.

Does it work for small and recurring orders?

Yes. The plan scales with the risk: a proven supplier on a simple product may need little more than structured data; a new supplier on a complex product gets more.

Who is it built for?

Companies that want a local team to manage their procurement projects, with a limited budget and without the regional experience to do it alone: small and mid-size companies buying in China and greater Asia, importers, trading companies and customs agents. There is no investment, no direct employees and no facilities to maintain.

How is the service priced?

Open Project is open book: you see the prices from every factory. GIS fees are agreed per project and depend on the order, and a GIS representative goes through them with you.

How do we start?

Talk to a GIS representative. We review one or two current orders with you and propose a first program.
